MINUTES OF THE OUSA EXECUTIVE MEETING HELD IN ROOM 6 OF THE OUSA RECREATION CENTRE, ALBANY STREET, DUNEDIN ON TUESDAY 7 MAY 2013 AT 5.17PM

MATTERS ARISING
Snow Games - Blake Luff advised he was in the process of formalising a plan and will report back to keep everyone in the loop once this is done.

GENERAL MANAGERS REPORT
Lockers for student storage has been discussed at meetings between David Richardson and OUSA. The Secretary has written a letter to David Richardson outlining the need for more lockers especially in a central location with late night access.

ENVIRONMENTAL & SUSTAINABLE OFFICER APPOINTMENT
It was agreed for this item to be moved ahead of other agenda items to enable Hannah Payne-Harker to speak to her application and leave should she desire.

Hannah's CV had been distributed to the executive along with a proposed job description.

She has been on this committee and working on the students for environment action group.

Davidson/Gaudin
147/13 THAT Hannah Payne-Harker be appointed as the Environmental Sustainability Officer for 2013.

Hannah will report to the Executive after meetings. Lucy Gaudin and Rachel Davidson may get involved in the Environment Committee.

TERTIARY OPEN DAY - 13 May
The Secretary reminded the executive of the OUSA stall duties on the day and also the BBQ supplied by the University Union over the lunch period needs setting up, two people at least cooking and then putting away.

Zac and Rachel offered to assist with the BBQ. Lucy will co-ordinate a roster to help on the stall.


UNIVERSITY STRATEGIC DIRECTION SUBMISSION
For noting to advise that OUSA had submitted a submission.

WELLINGTON MEDICAL STUDENTS UNION/OUSA SERVICE LEVEL AGREEMENT
There were some small alterations to be made although the executive were happy with the broad intentions of this document. Is it GST inclusive?

STUDENT FORUM FOR REFERENDUM

151/13 THAT a Student Forum be held on 16 May 2013 at 1pm outside in the Link Courtyard area if weather permits or in the Main Common Room.

Zac Gawn will be the MC for this Forum.

WELLINGTON POST GRADUATE EVENTS FUNDING REQUEST
Invoice attached. In future the aim is to get the University to fund and support our satellite campuses.

152/13 THAT OUSA contribute $500 towards the 2013 Inaugural Mad Scientists' Postgraduate Ball.

GENERAL BUSINESS
Welfare & Housing Committees - as the memo attached states Ruby wants to create more awareness of better warmer flats and also to advertise to students widely to seek their involvement in welfare issues for students. A couple of bold advertisements in Critic to encourage students to sit on these committees and to obtain feedback is the first aim.

153/13 THAT OUSA allocate $900 to cover the costs of two weeks advertising in the Critic Magazine to attract student participation to come from the Welfare Budget.

Spirit Fest - as the memo states Spirit Fest is an opportunity for students in Dunedin to "taste" the various spiritualties the Otago University has to offer.

Spirit Fest provides a day of "spiritual networking" and the opportunity to experience performances and interactive activities.

There is hopefully going to be stalls set up in the Link where groups can have their own section and interact, perhaps this could coincide with OUSA Market Days.

154/13 THAT OUSA allocate $50 to advertise and run Spirit Fest along with the Interfaith Committee, to come from the Welfare Budget.

Take Back the Night - as the memo states - The Dunedin Feminist Collective are organising another take back the night event for the end of May or early June. This has been a successful event run in the past in Dunedin and is also run internationally. They would like OUSA to assist with the bond money for the Octagon area. This bond will be returned after the event if there is no damage to the area.

OU DEBATING SOCIETY PUBLIC DEBATE FUNDING REQUEST
As the memo states the Otago University Debating Society are running a series of public debates.

OUDS have run many successful debates in the past. It is a good way to involve student groups and often these groups involve student looking to make positive changes they maintain.

They would like OUSA to help fund debates.

Some of the Executive said this should be referred to the Grants Committee as they are an affiliated club. This would set a poor precedent.

Others felt this was more of a collaboration with OUSA and we could fund it half each.

This was also considered by some as a broader benefit to the University and OUSA as it is educational and involves a wide range of students.

A strong debate took place.

It was expressed that OUSA should realize the Otago University Debating Society (OUDS) has world class Debaters and this should be seen as an excellent opportunity to assist with a good student event.
