MINUTES OF THE OUSA EXECUTIVE MEETING HELD IN THE OUSA RECREATION CENTRE, ALBANY STREET, DUNEDIN ON TUESDAY 18 MARCH 2014 AT 5.36PM

MATTERS ARISING
Jordan reported that Sex Week went as planned, although there needs to be far more advertising and pre-planning of this event in future. The quiz and the debate were called off at the last minutes.

BUDGET SEMINAR
These notes were from a post executive meeting held last week.

27/14 THAT the notes from the Budget Seminar meeting held on 3 March 2014 be received.

AUSTRALIAN UNIVERSITY SPORTS EASTERN UNI GAMES
George addressed the meeting to explain the main points of the document attached and answer questions. The games are to be held July 6-10 2014 in Newcastle.

The sports to compete are Basketball, Netball, Hockey and Touch. These are strong teams and this would be good development for them.

There will be zero tolerance for misbehavior. 6 staff are penciled in to attend with 49 competitors.

There was misgivings expressed regarding the Hockey Club loan with OUSA they have not been meeting their obligations regarding the repayments and they shouldn't be competing in these games without meeting their obligations.

George will notify the Hockey club and remind them of their responsibilities regarding this debt.

A deposit of $5500 for the flights has been penciled in and needs to be paid tomorrow.

These games have been budgeted for by OUSA and the Executive are expressing their overall approval for this event. George thanked them and left the meeting.

PROVISION OF SERVICE AGREEMENT - OPSA/OUSA
As attached, this agreement is for the provision of services to OPSA students in the OUSA Recreation Centre arising out of the common desire of both OUSA and the OPSA to see their sporting, cultural and educational needs are met.

The last survey showed the OPSA usage was 2-2 ½ % at the Recreation Centre

OPSA have reduced funding this year so this agreement amount is lower.

28/14 THAT the Common Seal be affixed to the Provision of Service Agreement between the Otago University Students' Association (OUSA) and the Otago Polytechnic Students' Association (OPSA) document.

Donna will ensure this document is common sealed and then taken to OPSA for them to do the same.



CAPPING CHARITY FOR 2014
As the survey states there were 58 responses and the charity with the most hits was Rape Crisis.

30/14 THAT Cade Bedford, Lindsey Horne and Letisha Nicholas be granted speaking rights for the duration of this meeting.

Cade and Lindsey addressed the meeting to explain how they had been creating a website to enable students to look up and obtain information about flats before they sign up. http://ratemyflatnz.wordpress.com/

They hope to survey 500 flats through this website, with a strong mandate from students thus far.

Cade and Lindsey have been living in a flat that was rated the worst flat back in 2012 and have been slowly renovating it. They also are working closely with the OUSA Student Support Centre and landlords to get the standard of flats improved throughout Dunedin especially for students.

It was suggested there be a Memorandum of Understanding between them and OUSA to acknowledge a working relationship to get this website up and running and then to they hope to sustain it.

The cost for setting up the website is $5,000 and there will be on-going costs. They are looking for sponsorship for marketing.

The Executive were in agreement this was an excellent idea and support the concept.

Ruby, Ryan, Nick, Nali and Brydie will be a working party to liaise with Cade and Lindsey.

OTAGO COMMUNITY HOSPICE ANNUAL STREET APPEAL
The Executive agreed in principle to assisting with the appeal around the Museum area. Donna will notify them.

RISK REDUCTION ALCOHOL WORKSHOP - rraw
Ruby attached an invitation for the Executive to attend a training course on alcohol and young people. There are two workshops 6 and 8 May.

Ruby, Nali, Brydie, Ryan, Nik and Hamish asked to attend. Donna will notify them.

AFFILIATIONS
The completed paper work for the six clubs who were applying for affiliation were emailed around the Executive earlier in the week to ensure they had read them before this meeting.

Clarification was asked about the 100% Otago Club.

UNIVERSITY OF OTAGO INTER-COLLEGE SWIMMING SPORTS
A reminder that this is on tomorrow evening starting at 7pm at Moana Pool. Brydie would really appreciate help with this.

CANTEEN BIKE BASH
As attached. There are groups of students studying Marketing Management doing an assignment where they have to form a sales project to fund raise money for Canteen Dunedin.

This request was declined as OUSA don't fund academic projects as a rule.

NZUSA VISIT FROM THEIR PRESIDENT
For noting - Dan is visiting Otago on 26 March and there will be a meeting at 1pm with the Executive.

EXECUTIVE/TE ROOPU MAORI RETREAT
The idea of a Marae visit needs more notice and preparation so it has been decided to have a sporting event around Dunedin and perhaps a dinner at La Porchetta this Saturday. Marianna will liaise with Ruby.

GENERAL BUSINESS
Cat Clinic - there will be a clinic at the Vet School on 11 April. Students pay $15 per cat. A grant from the Companion Animal Trust assisted in wavering some of the fees.

Education Officer's resignation - Jordan Taylor is resigning from his position as of 28 March 2014.

37/14 THAT Executive asked Jordan Taylor be thanked for all the years he worked on the OUSA Executive and they wish him well for the future.

There was then a request that OUSA give Jordan Taylor a group hug which ensued immediately after the meeting drew to a close.

Timesheets - it was asked if the newly introduced timesheets could be reviewed. It was stated that this should not be discussed when Ruby isn't present. Tabled until the next meeting.
